Privacy and Personal Data Protection Policy - 26 June 2018
How we use your personal information
The General Data Protection Regulation (GDPR) came into force on
25 May 2018 and organisations processing personal data controlled
from the EU must comply with the rules which it introduced. Mission
Without Borders has always looked after your data with the utmost
care, and we welcome the broader protection and enhanced rights
that GDPR introduces.
This statement explains how Mission Without Borders
International ("we", "our" and "the Mission") handles and uses data
we collect about our supporters and other people we deal with
("you" and "your"). In broad terms, we use your data to manage the
ongoing relationship between the Mission and you, including keeping
in touch with you, keeping you up to date on our achievements and
work, and engaging with you on how you can continue to contribute
to the Mission's life and otherwise engage with and support the
Mission.
We will not retain your data any longer than necessary,
and you can request us to remove it at any time. When changes are
made to this statement, we will publish the updated version to our
website and notify you by other communications channels as we deem
appropriate or necessary.
The controller for your personal information is Mission Without
Borders, 175 Tower Bridge Road, London, SE1 2AG on behalf of
Mission Without Borders International. The Mission is not required
to have a Data Protection Officer but the person within the Mission
otherwise responsible for data protection at the time of issue, and
the person who is responsible for monitoring compliance with
relevant legislation in relation to the protection of personal
information, is Harry Graham: email address hgraham@mwbi.org.
This is the person to contact if you have any concerns about how
the Mission is managing your personal information, or if you
require advice on how to exercise your rights as outlined in this
statement.
The legal basis for processing your personal data is that
it is necessary for the purposes of our legitimate interests, where
we have concluded that our interests do not impact inappropriately
on your fundamental rights and freedoms, except where elsewhere in
this statement we have indicated otherwise. You may ask us to
explain our rationale at any time.
How your data is used by the Mission
We collect and process your personal data, as specified
below, for a number of purposes, including:
- maintaining a record of your contacts with the Mission;
- engaging you in Mission events that we believe will be of
interest to you, including open events, volunteering opportunities,
and other ways you may want to contribute to the work of the
Mission;
- providing you with information about the development of the
Mission's work among beneficiaries, including major initiatives and
programmes in our Field countries;
- encouraging you to make a financial contribution to the work of
the Mission, and processing any such contributions;
- assessing the likelihood that you will, now or in the future,
make a financial contribution (gift) to the Mission;
- to respond to your queries, including providing you with any
requested information about our programmes, or in the case of
sponsorship, your sponsored family or child.
Further details are provided in the Appendix. If you have
concerns or queries about any of these purposes, or how we
communicate with you, please contact us at the address given
below.
Communications
If you are a new contact for the Mission, we will ask you at the
outset how you would like to receive news and other communications
from us. If you are already receiving such communications, you are
able to change your preferences (or ask us to stop sending you news
and other communications completely) by emailing us at the
Affiliate in your local country (see link on this website) or by
clicking the 'Unsubscribe' link at the bottom of each email we send
out. You may request changes at any time.
How we share
your personal data
Personal data is shared with Mission Without Borders Affiliate
and Field entities continually and we believe it is in the interest
of the Mission, our supporters and beneficiaries to continue such
collaborative working.
Mission Without Borders International and its Affiliate and
Field partner organisations internationally (including the Mission)
have a data transfer agreement to govern the sharing of personal
data including that of beneficiaries and supporters. This is
necessary because they are distinct legal entities. Any
transmission of data to or from Mission Without Borders
International is managed through agreed processes which comply with
GDPR.
For clarity, we maintain other electronic and paper records.
Each Mission Without Borders entity has its own data protection
statement and procedures.
Additionally, we share data on a considered and confidential
basis, where appropriate, with contractors providing services to
you on our behalf or services to us (our "data processors"), as
outlined above.
We also facilitate communication between individual supporters
of the Mission and between supporters and beneficiaries, but in
doing so we do not release personal contact details without prior
permission.
Any transfers of your data to third countries or International
Organisations, as set out above, are protected by a Data Transfer
Agreement in compliance with GDPR requirements.
Your rights
You have the right: to ask us for access to, rectification or
erasure of your data; to restrict processing (pending correction or
deletion); to object to communications or direct marketing; and to
ask for the transfer of your data electronically to a third party
(data portability). Some of these rights are not automatic, and we
reserve the right to discuss with you why we might not be able to
comply with a request from you to exercise them.
Where you opt out of all future communications or exercise your
right to erasure, we will continue to maintain a core set of
personal data to ensure we do not contact you inadvertently in
future. We may also need to retain some financial records about you
for statutory purposes (e.g. Gift Aid, anti-fraud and accounting
matters).
If you have a complaint about our use of your information, we
would prefer you to contact us directly in the first instance so
that we can address your complaint. However, you also have the
right at any time to contact the Information Commissioner's Office
via their website at www.ico.org.uk/concerns or
write to them at:
